Refund Policy

Our goal is always to deliver the sign you approved. Because every AFCultures sign is custom-made, repair, remake, or replacement is often a faster and more practical solution than a refund. When a refund is appropriate, this policy explains when it is available, how it is calculated, and how it is processed. This policy forms part of the Terms of Sale. Warranty claims are handled under the AFCultures Limited Warranty.

AFCultures — Section 1 — The Short Version 01

The Short Version

Every AFCultures sign is made specifically for one customer and cannot be placed back into inventory or resold. If your plans change, the amount available for refund depends on how far your order has progressed.

The percentages above are the maximum cancellation refunds generally available at each stage. The final refund may be lower where AFCultures has already incurred documented, non-recoverable project-specific costs. These amounts reflect work completed and costs committed to your project; they are not penalties.

Your order stage is determined by actual production progress, not only by when a video is sent. The proof-approval date is recorded in your email or project correspondence. AFCultures' production records determine whether the product has been substantially completed, entered final quality control, or whether finished-product review materials have been prepared or sent.

Substantially completed means the sign or the principal custom-fabricated components have progressed far enough that the remaining work is primarily final assembly, finishing, testing, quality control, packing, or shipment.

What Gets Deducted

If an order is cancelled after work has begun, AFCultures may already have incurred costs specifically for your project. The deductions below are intended to recover those costs rather than act as a penalty.

The stated refund percentage is the maximum amount available for that cancellation stage. AFCultures may deduct documented non-recoverable costs incurred before cancellation, including project-specific materials, labor, engineering, technical review, payment processing, production, and other costs that cannot reasonably be reused or recovered.

Payment processing — 5% of order value. Payment providers charge transaction fees when a payment is made and may also charge fees when a refund is processed. These charges are retained by the payment provider, not AFCultures.

This fee helps cover consultation, proof development, order administration, technical review, and production capacity reserved specifically for your project. AFCultures maintains internal records supporting the costs incurred at each production stage.

Design proofs remain free on orders that proceed. You may request unlimited proof revisions before approval at no additional charge. A cancellation fee applies only when an order is withdrawn after AFCultures has completed work for the project. The fee is disclosed before proof approval.

No cancellation deduction applies where:

  • AFCultures cancels the order
  • The cancellation follows a confirmed manufacturing defect or a failure to match the approved proof
  • AFCultures has not responded to your written notice under Terms of Sale, Section IX
  • A force majeure event prevents performance for more than sixty (60) days

Before You Approve the Proof

If you decide not to proceed before approving your design proof, simply let us know. Because production has not yet started, most of your payment can be returned.

Maximum refund generally available: the order value less payment-processing costs and the applicable cancellation fee — approximately 90% on a typical order, subject to documented non-recoverable costs under Section 2.

Your project work remains available. If you place a new AFCultures order using the same design within twelve (12) months, the cancellation fee will be credited toward that order. Design ownership remains governed by Terms of Sale, Section III.5.

Approving the proof authorizes AFCultures to schedule production and begin committing materials to your approved specification.

Maximum refund generally available: 75% of the order value.

The retained 25% covers payment-processing and cancellation costs, materials allocated to your project, and production capacity that was reserved specifically for your order.

This stage generally applies for five (5) business days from the date you approve your proof. However, if the product is substantially completed, enters final quality control, or finished-product review materials are prepared or sent sooner, Section 6 applies from that earlier event.

To cancel, email [email protected]. The request date is the date your cancellation email is received, while the applicable refund stage is determined by the production progress reached before receipt.

By this stage, materials and components have usually been cut or fabricated specifically for your project and generally cannot be reused for another customer.

Maximum refund generally available: 55% of the order value.

The 55% figure assumes the project has not yet reached substantial completion or final quality control. Some projects—especially rush, small, or simplified orders—may progress more quickly than five business days. If the product is substantially completed, enters final quality control, or review materials are prepared or sent, Section 6 applies.

Where Section 5 applies, AFCultures returns up to more than half of the order value because later-stage costs—such as final finishing, assembly, packing, and freight—may not yet have been incurred. The final amount remains subject to documented non-recoverable costs under Section 2.

You may also choose to let production continue. In many cases, completing the project provides more value than receiving a partial refund. Contact [email protected] and we will explain the available options before you decide.

AFCultures — Section 6 — After Substantial Completion or Final Quality Control 06

After Substantial Completion or Final Quality Control

Cancellation refunds are no longer available once the product has been substantially completed, has entered final quality control, or the finished-product review materials have been prepared or sent, whichever occurs first.

This milestone is based on actual production progress rather than the timing of an email. A custom sign may reach substantial completion or final quality control before five business days have passed, particularly for priority, repeat, smaller, or less complex orders.

At this stage, the custom manufacturing work has been substantially performed, the order is payable in full, and the sign cannot reasonably be cancelled for a production-stage refund.

AFCultures will still provide the finished-product review materials and the review opportunity described in the Terms of Sale, Section V. You may request additional photographs, video, measurements, illumination footage, or a temporary shipping hold. Those review rights do not reopen cancellation eligibility.

If you believe the completed sign materially differs from the approved proof, falls outside commercially reasonable manufacturing tolerances, or has a manufacturing defect, the concern is handled under Section 7 rather than as a cancellation.

When a Refund May Be Available After Delivery

If something is genuinely wrong with your sign, AFCultures will work with you to reach a practical resolution. Depending on the issue, the appropriate solution may be repair, replacement, remake, credit, or refund.

7.1 Manufacturing Defect

If a sign has a confirmed manufacturing defect, AFCultures will repair or remake it at no cost under Terms of Sale, Section VI.2.

If repair and remake are both impractical or fail to resolve the issue, AFCultures will issue a full refund. We will not leave a confirmed manufacturing defect unresolved.

7.2 Different From the Approved Proof

If the completed sign differs materially from the approved proof—such as the wrong color, dimensions, material, layout, or finish—and the difference falls outside commercially reasonable manufacturing tolerances, AFCultures will provide the applicable remedy under the Terms of Sale, which may include repair or remake at no cost, including shipping.

In some situations, you may prefer a refund rather than wait for a remake. Let us know and AFCultures will review that request based on the nature and severity of the discrepancy.

7.3 Review of the Finished Product Video

Before shipping, AFCultures sends a video of the completed sign and provides the review period stated in Terms of Sale, Section V. You may request additional photographs, illumination footage, further video, or a live video call at no additional charge.

When you confirm the sign, shipping address, and authorization to ship, you accept the visible characteristics shown in the review materials, including:

  • Paint color and finish as shown
  • Illumination color, brightness, and coverage as shown
  • Dimensions, proportions, and layout as shown
  • Text, spelling, and typography as shown
  • Visible surface characteristics, including UV-printed finishes

Digital screens and cameras can display color and illumination differently from the finished product. This is why AFCultures shows the actual completed sign and provides additional review material on request before shipment.

If you request a change to a sign that matches the approved proof and the finished-product review, AFCultures will quote the remake and applicable freight before work proceeds.

Your confirmation applies only to what could reasonably be seen in the review materials. It does not limit your rights regarding transit damage, hidden structural or electrical faults, missing components, or valid warranty claims.

7.4 Custom-Manufacturing Characteristics

The following characteristics are not automatically considered defects. AFCultures will review each concern against the approved proof, the stated specification, and commercially reasonable manufacturing tolerances.

Manufacturing tolerances. Custom-fabricated signs may include minor variation in dimensions, alignment, stud position, depth, seams, panel gaps, finish, illumination, and handmade fabrication. A minor variation that does not materially affect appearance, fit, function, installation, safety, or code compliance is not a manufacturing defect. Any tighter tolerance must be stated in the accepted quotation, project agreement, approved proof, or applicable AFCultures Manufacturing Tolerance Schedule.

Paint and color variation. Screens, printed samples, substrates, gloss levels, production batches, lighting, and camera exposure may display color differently. To establish a color target, provide a Pantone (PMS) code before approval or request a physical reference sample for the applicable shipping fee. A Pantone code or physical sample establishes a target for a commercially reasonable match, not an absolute guarantee across different materials and viewing conditions.

If the finished paint does not achieve a commercially reasonable match to the approved Pantone target, AFCultures will review it as a specification issue under Section 7.2.

Illumination variation. LED color and perceived brightness can vary with ambient light, viewing distance, adjacent colors, and camera exposure. A different approved light color or light type is a specification issue; minor variation within the approved color family is not automatically a defect.

Some very fine elements cannot safely contain LED modules or wiring. Where this affects the approved appearance, AFCultures will raise it during design or production review.

UV-printed surface characteristics. UV-printed finishes may appear different from a screen rendering, especially when illuminated. Final sharpness also depends on the resolution of customer-supplied artwork.

If AFCultures uses a different surface material or print method from the approved specification, the issue is handled under Section 7.2.

Text approved in the proof. Spelling, punctuation, capitalization, and typography are reviewed during proof approval and finished-product review. If an error was already present in the approved proof, AFCultures may offer a partial credit or quote a replacement solution.

If the manufactured text differs from the approved proof, AFCultures treats it as a specification issue and remakes it at no cost.

Normal aging and wear. Fading, yellowing, patina, coating wear, and component performance over time are governed by the AFCultures Limited Warranty.

7.5 Production and Delivery Delays

AFCultures commits to the production timeline stated in your quotation or order confirmation. Carrier transit time is generally an estimate unless AFCultures expressly agrees otherwise in writing.

If AFCultures misses a committed production deadline for reasons within our control, contact [email protected]. Any paid priority-production fee associated with that missed commitment will be refunded.

Carrier, customs, weather, and trade-related delays are outside AFCultures' direct control and do not normally create a right to cancel a completed custom order. AFCultures will assist with tracking, carrier communication, and any eligible freight claim.

If a delay results from late customer approval, unpaid balance, missing information, or a customer-requested change, the related priority fee is not refundable.

7.6 Parts, Repairs, and Reimbursement

If a covered defect requires parts or repair work, contact AFCultures before purchasing components or authorizing third-party work. This allows us to confirm the diagnosis, approve reasonable costs, and preserve your warranty coverage.

Where AFCultures authorizes the expense and the underlying issue is covered, reimbursement is processed after receipt of the applicable invoice or receipt. Unauthorized work may not be reimbursable and may affect warranty coverage.

Choosing the Right Solution

Our first goal is to provide the sign you ordered, not simply close the order. For most product issues, repair, replacement, or remake gives you a faster and more useful outcome than a refund.

AFCultures — Section 9 — How to Request a Refund 09

How to Request a Refund

1. Contact us. Email [email protected] with your order number and a clear description of the issue.

2. Help us understand what happened. Where the request concerns product condition, include clear photographs. For shipping or arrival damage, include an unboxing video where available. If no video exists, AFCultures will still review the claim using photographs, packaging evidence, and carrier records.

3. We review the request and explain the available solution. Depending on the circumstances, this may be a repair, replacement, remake, credit, or refund. If inspection or return is required for an eligible claim, AFCultures arranges the process.

4. We confirm the outcome in writing. Before processing any refund, AFCultures provides the approved amount and an itemized explanation of any deduction.

AFCultures — Section 10 — Processing 10

Processing

Approved refunds are returned to the original payment method. After AFCultures releases the refund, banks and payment providers typically require 3–5 business days to post it to your account.

For payment-security reasons, a refund cannot be sent to a different card, bank account, or payment method.

Every partial refund is confirmed and itemized in writing so you can clearly see how the final amount was calculated.

When AFCultures Cannot Reach You

Sometimes an order cannot move forward because AFCultures is waiting for approval, information, artwork, payment, or another response from the customer. In that situation, we make reasonable and documented attempts to contact you by email and telephone.

After thirty (30) days without a response, AFCultures may place the order on hold or close it. Any refund is calculated according to the actual production stage reached and the documented non-recoverable costs incurred under this policy. If production has reached the milestone in Section 6, no cancellation refund is available.

Where the order is closed before proof approval, eligible project design work remains available for reuse under Section 3.

If AFCultures caused or materially contributed to the communication gap, no cancellation deduction applies.

The same expectation applies to us. If AFCultures is not responding, use the escalation process in Terms of Sale, Section IX.3. If we fail to respond or provide a resolution path, you may pursue any remedy available to you.

AFCultures — Section 12 — Before Filing a Payment Dispute 12

Before Filing a Payment Dispute

If you have a concern about an order, please contact AFCultures in writing before starting a credit-card chargeback or payment dispute.

This request is practical: because every sign is custom-built, we can often resolve an issue faster through repair, replacement, or remake than through a dispute process that may take weeks and still leave you without a sign.

The complete resolution and escalation process appears in Terms of Sale, Section IX. If AFCultures fails to respond or provide a resolution within that process, you remain free to pursue any remedy available to you.

AFCultures — Section 13 — Consumer Rights 13

Consumer Rights

This policy applies to products purchased primarily for business, commercial, trade, or professional use. Nothing in this policy limits or excludes any right or liability that cannot lawfully be limited or excluded under applicable law.

If any part of this policy is found unenforceable, the remaining provisions continue in effect.

Relationship to other documents. This Refund Policy forms part of the Terms of Sale. If a signed project agreement or accepted quotation expressly changes a refund term and both parties approve that change in writing, that specific written term controls for the affected order.
